A donor sends you an email, and they're not happy. Immediately, your mind starts racing. Are they going to stop giving? Did we do something wrong? Do we need to fix this right now?

Donor complaints can feel like an emergency, especially when you're leading a startup, small, or growing nonprofit where every donor relationship matters. But not every complaint means your organization made a mistake, and an unhappy donor doesn't automatically mean you need to change course.

In this episode of the Nonprofit Launch Plan Podcast, nonprofit growth coach Matt Stockman shares a practical five-step framework for responding to donor complaints without becoming defensive, overreacting, or giving away your responsibility to lead.

The Five Steps for Handling a Donor Complaint

1. Listen

Before explaining or defending your decision, make sure you understand what the donor is actually concerned about.

Sometimes the complaint you hear isn't the real issue. A complaint about receiving too much direct mail, for example, could actually be a concern about whether the organization is spending donor dollars wisely.

Listen first. Ask questions. Understand before you answer.

2. Investigate

Determine what kind of complaint you're dealing with.

Most donor complaints fall into one of four categories:

Your organization made a legitimate mistake.Your organization communicated something poorly.The donor is expressing a personal preference.The donor is attempting to exert control over an organizational decision.Knowing which kind of complaint you're facing will help determine what should happen next.
